Job Description: |
We are seeking a highly organized, proactive, and detail-oriented Operations & Administrative Coordinator to support the daily functions of a fast-paced transportation and property management business. The ideal candidate will be capable of juggling multiple responsibilities, communicating clearly, and maintaining constant availability via Zoom throughout the workday.
Key Responsibilities
Administrative & Communication
- Check and respond to emails promptly and professionally
- Make and receive phone calls to coordinate tasks and resolve issues
- Follow up with the boss regarding pending and priority tasks
- Proactively remind management about important deadlines and follow-ups
Limo Service Dispatch & Coordination
- Enter and manage limo service reservations in the system
- Dispatch limo drivers and ensure timely assignments
- Communicate with clients and drivers as needed to ensure smooth service
Trucking Operations
- Dispatch trucking loads and coordinate with drivers
- Enter and update load details in the internal system
- Monitor load progress and address any arising issues
Short-Term Rental Management
- Handle short-term rental reservations
- Communicate with guests and maintenance/cleaning teams as needed
- Ensure timely check-ins/check-outs and resolve booking issues
Payments & Task Execution
- Process payments accurately and on time
- Assist in tracking expenses and vendor coordination
- Ensure assigned tasks are completed by reaching out to relevant parties
Requirements
- Strong verbal and written communication skills (English fluency required)
- Prior experience in administrative or dispatch roles preferred
- High attention to detail and ability to multitask efficiently
- Tech-savvy: comfortable using email, scheduling tools, reservation systems, and Zoom
- Must be available on Zoom for the full 10-hour shift daily
- Highly reliable and self-motivated with strong organizational skills
Schedule
- 6 days per week (day off to be discussed)
- 10-hour shift per day
- Must maintain a consistent Zoom presence during working hours
