Job Description:

General Position Summary;

  • Admin. & Finance officer will be responsible for managing facilities, Air transport and hotel bookings and maintaining the financial book for Mercy Corps Office. 
  • Though the primary role of the Admin & Finance Officer will be to Support the Sr. Finance Manager & Operations Manager in the day-to-day tasks related Administration & Finance in respective field office.  

Essential Job Responsibilities;

  • Arrange Hotel booking for all guests and visitors.
  • Arrange, supervise and facilitate organization of workshops, meetings and seminars in field office
  • Ensure that all communication (Landline and Mobile Phone) are working in field office. 
  • Manage Kitchen supplies for office, arrange indoor events and meeting in office
  • Maintain good filing system to control admin files including but not limited to, internal and external correspondence, contracts, and lease agreements.  Ensure confidentiality of sensitive files.
  • Ensure that the office is adequately equipped with necessary supplies and equipment. Supervise the office stationary store, including ordering and distribution of stationery supplies and basic office equipment.
  • Ensures that office equipment, air conditioners, and generators are kept in optimum working order, through correct usage and periodic maintenance; negotiate maintenance and repair contracts.
  • Ensure monthly reports are submitted, and review and follow up as necessary
  • Timely process of all payments and enter processed payments in Navigator.
  • Prepare monthly closing documents
  • Coordinate with banks for all bank accounts
  • Review system entries before posting them to the GL.
  • Close Coordination with field offices, procurement department & other relevant departments for preparing/reviewing of monthly cash flow & prepare BTR & sign from authorities.
  • Closely oversee bank balances to ensure sufficient cash in the bank.
  • Monthly reconciliations of balance sheet items, i.e. Employee advances, employees receivable/payable, taxes and EOBI payables, etc.
  • Archive finance record and send to the country office.
  • Involve in emergency response as an active team member from the finance department.
  • Capacity building of field office staff on updated tax regulations and navigator-related process etc.
  • Any other task assigned.

Reports Directly to:

  • Operations Manager/Sr. Finance Manager

Works Directly With:

  • MC Staff members. 

Knowledge and Experience

  • Master's degree or equivalent from a recognized university.
  • A minimum of 5-year experience in Office administration & Managing the finance for field office preferably with INGO/NGO.
  • Excellent negotiation, representation, skills and the ability to work comfortably with an ethnically diverse staff.
  • Effective verbal and written communication, fluency in both written and spoken English/Urdu.  Knowledge of local languages is an asset
  • Excellent computer skills (Word, Excel).
  • Demonstrated attention to detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members and a proven ability to solve problems independently without direct supervision.
